Franchise ordering software

Franchise ordering software for head office and every franchisee store

ordr.broker is franchise ordering software that connects a franchisor’s head office with its franchisee stores. Head office publishes one product catalogue, each store orders from it, and head office fulfils and updates every order until it is delivered. Each business gets its own branded workspace, with a web dashboard and iOS and Android apps.

The problem

Franchise supply ordering still runs on messages and spreadsheets

In many franchise networks, a store places its order by phone, WhatsApp or email, or fills in a spreadsheet that someone at head office then has to open, read and retype. Head office chases missing quantities, checks which price applies, and finds it hard to say which store ordered what, when it was approved, or whether it has left the warehouse. Franchisees, meanwhile, keep asking the same question: where is my order?

The result is slow ordering, duplicated effort on both sides and no shared record that either party trusts. Franchise procurement software replaces that trail of messages with one catalogue, one order record per store and one status that everyone can see.

How it works

How a franchise order moves through the system

  1. Head office publishes the catalogue

Head office sets up one product catalogue with categories, SKU, description, net price, an optional discount percentage, unit of measure and an in-stock or out-of-stock flag. Every store orders from that same list.

  2. Stores build a draft

A store user builds an order from the catalogue. Drafts are private, so the order can be saved and finished later without anyone else seeing it.

  3. Approval inside the store

Staff with approval rights in a store approve their own orders automatically. Everyone else submits the order for review, and it waits in Pending approval until it is approved.

  4. Head office triages and fulfils

Head office reviews approved orders, accepts them and moves them through Processing and In transit, updating the status at each step. It can reject an order, which cancels it, or request changes, which returns it to draft.

  5. Delivered, with invoice references

The store follows each change in real time until the order is Delivered. Invoice references are recorded on the order, so the paperwork stays attached to the order it belongs to.

Features

Franchise ordering features that matter day to day

One catalogue for every franchisee

Every outlet orders from the same range, with the same net prices and the same stock flags, so there is no separate price list to maintain for each store.

Approvals set per store

Decide who in each store can order, who can approve and who can manage. Approvers auto-approve their own orders, and everyone else goes through review.

Single-use discount codes

Head office can issue a single-use code to one store, as a percentage or fixed amount, optionally scoped to particular products. Useful for an opening promotion or a one-off agreement with one franchisee.

Announcements to the network

Send a message to all stores, to selected stores or to chosen roles. Use it for a new range, a packaging change or a reminder about the ordering deadline your network has agreed.

Order reports for head office

Filter order reports by store, status and date to see which outlets are waiting, what has been delivered and where orders are getting stuck.

Roles and email invitations

Business-level and store-level roles decide who can order, approve and manage. Invite franchisee staff by email, and important actions are recorded so you can see who did what.

In practice

What it looks like for one franchisee

Take a franchisee who runs two outlets. Each outlet has a shop manager who builds the order and an owner who approves it. The owner’s own orders are approved automatically, while the shop manager’s orders wait in Pending approval until the owner reviews them. Once approved, head office sees the order in its queue, accepts it, and moves it to Processing and then In transit. The manager sees each change on their phone, through the in-app message or push notification, and the order is marked Delivered when it arrives.

If head office needs a different quantity on one line, it requests changes and the order returns to draft. The manager amends the order, resubmits it, and the approval step repeats. Nobody has to make a phone call to agree the change, and the order record shows what was asked and when.

Who it is for

Built for franchisors and the stores that buy from them

ordr.broker suits franchisors whose head office supplies franchisee stores with products, and franchisee owners who order for one or several outlets. It also works for any business with its own branches that orders through a head office team. It is built in Cyprus, and each business gets its own workspace branded with its logo and colours.

It is worth being clear about scope. ordr.broker covers ordering, approvals, fulfilment status, discount codes, announcements and reports. It does not count stock or track inventory levels in stores. If a franchise network needs those, they belong in a separate system.
